WELCOME from OMSI
The Oregon Museum of Science and Industry is excited to host the Oregon FIRST Tech Challenge Qualifying Event. We are looking forward to a great event for the teams and an opportunity to share the FTC Hot Shot game experience with the watching public. There is no charge for the public to watch the FTC event in the OMSI auditorium. Team members, coaches and mentors will receive wristbands to access OMSI during the day. Family members and special guests wishing to tour the OMSI exhibits will need to pay admission or use their OMSI membership card.

This overview and resource links are intended to help prepare you and your team for our upcoming tournament. Please read all the information thoroughly yourself, and share pertinent parts to your team. Also, pass on necessary information to parents and guardians, as indicated throughout these documents. Contact us directly with any questions. Our goal is to provide useful information to make tournament day run smoothly. There are 24 teams registered for this qualifying event. Cooperation is necessary to make this event a success.

Our FIRST Tech Challenge (FTC) tournament event expects that you, as coach, and all adults associated with your team will abide by FTC values, policies, procedures and standards as stated in the FTC Coaches’ Promise and agreed upon as part of the tournament registration.
EVENT SCHEDULE
Qualifying Event Eve - Friday Night 2/5/10 - OPTIONAL
On Friday, February 5, 2010 starting around 6:00 pm – 8:00 PM, we will welcome teams to arrive at OMSI to go through inspection, set-up pit table, practice a little on the practice field while the event crew is setting up the rest of the venue. Attendance is optional and not required by FIRST. This will give teams more time to fix potential issues that may arise in hardware/software inspection and speed up the official inspection process on Saturday morning.

Qualifying Event Day Details
7:15-8:00am Team Check-in Teams arrive at OMSI for check-in. Enter OMSI using the west door closest to the planetarium/auditorium. Team Check-in is in the hallway just beyond doors. Team Check-in OPENS at 7:15 am and CLOSES at 8:00 am. All teams are expected to check-in at this time.
- Coach must show that team has an adequate supply of safety glasses for team members and adults.
- Coach turns in signed FIRST Consent forms: one per team member and each adult coach/mentor in English or in Spanish. Documents can be found on the ORTOP website at link below

- Consent forms must be signed by a parent/guardian for students under 18 years of age.
- PLEASE COLLECT ALL FORMS PRIOR to the event and turn ALL team consent forms in at one time to receive your check-in folder.
- Turn in Team Engineering Notebook – clearly labeled with team name and # on the cover. Team can place 6 - 12 post-a-notes on pages they would like the judges to specifically review.
- Coaches should check their schedule to ensure that they are aware of the time and room for the team’s judging session. Your team has one judging session for all judged awards.
- All team members/Coaches/Mentors put on Participant ID tags and security-access wristbands, with team # and team name. There can be no more than 10 students on one team. Packet will include three Coach/Mentor Nametags/Wristbands. Wristbands will provide access into OMSI. Although your team will probably not have time to tour the exhibits, it will provide you access to the OMSI Café.
PIT AREA - Turbine Hall Luchroom area.
Team proceeds to assigned Pit Table in Pit Gym in Turbine Hall lunch area. You will have 1- 6 foot area of a table for your pit area. Space is limited at OMSI, we’ll be doing our best to accommodate everyone. Please place unneeded items under the table. Gracious professionalism. You can eat at your pit table but please clean up after yourselves. You can set up a tri-board or poster highlighting your team's community service projects, robot design, programming or team profile info.
8:00 -8:25am - Coach/Mentor/Team Member Meeting in Competition Auditorium : Everyone is expected to attend the event meeting in the auditorium. In this meeting, we’ll review the flow of the day and the tournament rules, and answer your last-minute questions. We’ll welcome the teams, thank sponsors, and make a few short announcements. We will also review robot driving rules with the teams.
8:30-11:00am Software and Hardware Robot Inspection Stations in Competition Auditorium:
- Hardware and Software inspections are unscheduled but required. Teams are inspected on a first come, first serve basis. The software inspection will determine if the robot has the most current Field Control System (FCS) and up-to-date templates. Robot must also pass a hardware inspection and the sizing cube test.
- Once the robot passes both inspections, teams have the lead inspection sign off on the inspection form and the team brings form to the scorekeeper for entry in the qualifying rounds. The team robot must pass both inspections to advance to the qualifying and elimination rounds. Robot inspections will close at 11:00 a.m.
- If robot passed software/hardware inspected on Friday evening, the team will only require the hardware re-inspection on Saturday.

- BE AWARE of your assigned JUDGING SESSION TIME. Your scheduled judging time takes precedence over robot inspection but you must do both. Referees may request that your robot be re-inspected at any time during the event. You only have one scheduled judging session for all judged awards. Don’t miss it!
9:00 –11:00am Judging Session – Each team and their robot has one ten-minute judging session
- Review your individual schedule to determine when and where your judging session is scheduled. Bring your robot with you. Judging will be held in:
- Classroom 1 (next to the auditorium)
- the SERC Classroom (accessed by going through Classroom 1)
- Parker Room (across Turbine Hall, take the elevator to the 3rd Floor and follow the signs.)
- Teams are responsible for getting themselves to the Judging events.
If you are not present at the Judging events then you will miss this judging opportunity. As with the Performance competition round, because of the tightness of the schedule, you will not be able to make up a missed judging opportunity. - You should arrive at the associated judging room five minutes before your assigned judging opportunity and check in with the judge's room assistant upon arrival.
- Do not allow robot inspection to conflict with your judge session.

8:30 am --- Tournament field available for practice. Use of the practice area will be informally scheduled to ensure that all teams have comparable access to the area; the practice area monitors will facilitate field use. The Practice Field will be located outside of the auditorium across from the planetarium. The practice field is in a very public location. The teams’ behavior and language should be professional and polite. If you are waiting for your turn, please explain the Hot Shot Game and FTC to OMSI guests that are watching.
11:00 am - Formal Robot Inspection closes. Teams that have passed hardware and software inspections will advance to Qualifying Rounds. Tournament officials will enter the team numbers advancing teams into the Event Scheduling program. Teams will be randomly matched into 2 team alliances.
11:00-11:30 -- Lunch: You are encouraged to bring lunch from home in order to provide your team with the most flexibility to stay hydrated and nourished. The OMSI Café will be available for your use. It opens at 11:00 am. There is also a snack bar near the OMNI Max theatre and a vending machine in the PIT. Teams can bring in their own food but please clean up after yourselves.
11:35 am--OPENING CEREMONIES for the public. Introduction of the game and teams.
12:00 pm -- QUALIFYING ROUNDS BEGIN!
---Schedule projected on the Pit Gym Screen. Look for your match #. Each match should take approximately 5 minutes.
---Teams check-in at PIT Admin Table 3 matches before the one occuring and then proceed to the auditorium bullpen area. The Event Field Volunteers will direct you to the proper field and alliance position. Listen for Match # Annoucements over the PA system. Assign a team member to do this. The event runs on Match Order not Match time.
Team goes back to Pit area to practice or make adjustments to robot, or watches other teams in the Performance competition.
All teams will be on an even footing, in that none will know the competition-pairing schedule until the day of the competition. Because of the tightness of the schedule, you will not be able to make up a missed competition round. Two student drivers and one coach are allowed per team in the Alliance box.

Approx 3:0O PM ALLIANCE SELECTION and ELIMINATION ROUNDS
Understand how alliance selection is made. Read Section 3.6.7 Hot Shot Game Manual
As described in the FTC Rules, 3 team alliances will be formed.
Teams are asked to select a Team Captain for the Alliance Selection process. Immediately following the Qualifying Rounds, Team Captains are report to Parker Room (take Turbine Hall elevator to the 3rd Floor) for the Alliance Selection Procedure meeting. The rest of the team, coaches, mentors wait in the Atrium lobby during this time.
NEW!!! – For the Hot Shot Game their will be only four 3-team alliances in the elimination rounds (12 teams).
Elimination Round Play – read section 3.6.8
Cleaning up the PIT: After Qualifying Rounds, if your team is not advancing to the elimination rounds, the team should pack up their belongings. You can leave them in the Pit until after the awards ceremony but please be packed and ready to go.
4:00pm -- Pre-Awards Activities and Awards Ceremony: After Competition is complete, teams go to Auditorium for the Awards Ceremony.
Note: Please keep in mind we will try our best to keep to the schedule but may experience technical difficulties that will slow down or suspend play for an indeterminate number of minutes. Patience and gracious professionalism are key!
Team goes back to Pit room to retrieve any remaining belongings and leave site.
Who advances to the Oregon FTC Championship?
12 teams at the OMSI FTC Qualifying Event will advance to the Oregon FTC Championship. This includes the Winning Alliance (3 teams) and the Finalist Alliance (3 teams) plus all teams receiving a Judged Award (6).
In the event, a Winning Alliance or Finalist Alliance team also receives a Judged Award, this will open a Championship Tournament Slot(s). A lottery will be drawn from the remaining alliance teams from the Elimination Round not receiving trophy and 4 Honorable Mention Teams selected by the Judges that did not receive a trophy.
1st Tier Lottery 1 - 4 slots opened - These teams will be entered if they did not already receive a judged award.
2 Alliance Captain teams from Elimination Rounds (3rd and 4th Place) and 2 Honorable Mention Teams selected by Judges.

THIS SCHEDULE IS SUBJECT TO CHANGE. CONSULT THE PIT AND LISTEN FOR UPDATES THROUGHOUT THE DAY.
ACCESS TO THE PIT/JUDGING ROOMS:
ID Tags and security-access wristbands – Team members, coaches, and mentors will be issued ID tags and wristbands when the team checks in at the tournament. Anyone without ID tags and badges and nametags will not have access to the pit and judging areas.
Safety Glasses –Failure to wear safety glasses violates FTC rules and can negatively impact judged awards. Hot Shot Game Manual Sec 3.5 – EYE PROTECTION AND SAFETY FIRST requires all teams to bring and supply safety glasses for its members for each competition. Students and adult team members and guests must wear them to protect their eyes while working on the Robot, when observing Robot building/repair work, and while competing. Operators, players, and coaches will not be allowed in the Competition Area or Pit Area without them. Regular glasses and sunglasses do not qualify as safety glasses. If you wear prescription glasses, you must wear safety goggles over them or attach safety side shields.
Adults to Supervise Participants – Plan on two adults per team (e.g., yourself and your team’s mentor) and three adults for larger teams. Note that due to space considerations, a maximum of three adults will be allowed to accompany the team into restricted tournament areas.
Guests –Please invite family, friends, sponsors, and school VIPs. Viewing will be by standing room only in the auditorium outside of the stanchions. Only team members, coaches, and mentors will be allowed in the Pit and Judging areas; parents, family members and guests can view the competition auditorium , practice field or can purchase OMSI admission to see the exhibits. We are officially opening the event to the public at the start of the qualifying rounds at 11:30 am.
Extra Children – We recommend that you do not bring extra children with you. They will not be issued wristbands. If you have youngsters who are not members of your team and want to attend the tournament, you should have them accompanied by an adult who is not attending as part of your team.
Coaches with Multiple Teams – If you have more than one team at this tournament, it’s important that you bring an adequate number of adults with you to supervise your teams. Teams from the same school will have their Pit tables in close proximity to one another to the best of our ability. Remember too that your teams will be competing at different times in different places and that each team must have a designated coach that is responsible for each team.
Food
Sack Lunches – You are encouraged to bring lunch from home in order to provide your team with the most flexibility to stay hydrated and nourished. The OMSI Café will be available for your use. It opens at 11:00 am. There is also a snack bar near the OMNI Max theatre and a vending machine in the PIT.
Parking
Park in the OMSI guest parking lots. You can unload your team and equipment at the entrance to the auditorium lobby but do not leave your vehicle parked there. The driver must remain with each vehicle and move to a parking area upon unloading.

You will be able to recognize Tournament Volunteers; they will be wearing “Special” T-Shirts. Feel free to ask volunteers for help or information. They are there to make the tournament run smoothly and to help you throughout the day.
Fun Stuff
We're going to have a great time. Your team should consider wearing something fun to identify your team members, i.e. hats, T-Shirts, stickers. ORTOP encourages participants to talk and share their experience. This is a great opportunity to meet new friends, share stories and learn from each other. This is an educational, friendly competition.

We are also happy to have FTC students on campus to learn more about their opportunities as future students of OSU. - There is no charge for the public to watch the FTC event. Our FIRST Tech Challenge (FTC) tournament event expects that you, as coach, and all adults associated with your team will abide by FTC values, policies, procedures and standards as stated in the FTC Coaches’ Promise and agreed upon as part of the tournament registration. - In FTC, Students do the work. FTC is Student Designed, Student Engineered, Student Programmed and Student Driven.
Adult coaches and mentors are asked not to approach or speak with judges during the event unless the judge initiates a conversation with you. If you feel you need to address an issue with a judge, go to the Pit Administration table and ask to speak with Dale Jordan, Judge Advisor. The students should be addressing the referees for field related issue. If a coach or mentor feels they must clarify a field issue, please ask to speak with Head Referee Nick Brandt.

As with the Performance competition round, because of the tightness of the schedule, you will not be able to make up a missed judging opportunity. - You should arrive at the associated judging room five minutes before your assigned judging opportunity and check in with the judge's room assistant upon arrival.
- Do not allow robot inspection to conflict with your judge session.

8:30 am --- Tournament field available for practice. Use of the practice area will be informally scheduled to ensure that all teams have comparable access to the area; the practice area monitors will facilitate field use. The Practice Field will be located between the two competition fields on the 1st Floor. The practice field is in a very public location. The teams’ behavior and language should be professional and polite. If you are waiting for your turn, please explain the Hot Shot Game and FTC to guests that are watching.
11:00 am - Formal Robot Inspection closes. Teams that have passed hardware and software inspections will advance to Qualifying Rounds. Tournament officials will enter the team numbers advancing teams into the Event Scheduling program. Teams will be randomly matched into 2 team alliances.
11:00-11:30 -- Lunch: You are encouraged to bring lunch from home in order to provide your team with the most flexibility to stay hydrated and nourished.Teams can bring in their own food but please clean up after yourselves.

11:35 am--OPENING CEREMONIES for the public. Introduction of the game and teams.
12:00 pm -- QUALIFYING ROUNDS BEGIN!
---Schedule projected on the Pit Gym Screen. Look for your match #. Each match should take approximately 5 minutes.
---Teams check-in at PIT Admin Table three matches before the one occuring and then proceed to the atrium bullpen area #1 or atrium bullpen area #2. The Event Field Volunteers will direct you to the proper field and alliance position. Listen for Match # Annoucements over the PA system. Assign a team member to do this. The event runs on Match Order not Match time. The fields will be located on each end of the 1st Floor of the Kelley Engineering Building.
Team goes back to Pit area to practice or make adjustments to robot, or watches other teams in the Performance competition.
All teams will be on an even footing, in that none will know the competition-pairing schedule until the day of the competition. Because of the tightness of the schedule, you will not be able to make up a missed competition round. Two student drivers and one coach(which can also be a student) are allowed per team in the Alliance box.

Approx 3:0O PM ALLIANCE SELECTION and ELIMINATION ROUNDS
Understand how alliance selection is made. Read Section 3.6.7 Hot Shot Game Manual
As described in the FTC Rules, 3 team alliances will be formed.
Teams are asked to select a Team Captain for the Alliance Selection process. Immediately following the Qualifying Rounds, Team Captains are report to KEC-1001 for the Alliance Selection Procedure meeting. The rest of the team, coaches, mentors wait in the Atrium lobby during this time.
NEW!!! – For the Hot Shot Game their will be only four 3-team alliances in the elimination rounds (12 teams).
Elimination Round Play – read section 3.6.8
Cleaning up the PIT: After Qualifying Rounds, if your team is not advancing to the elimination rounds, the team should pack up their belongings. You can leave them in the Pit until after the awards ceremony but please be packed and ready to go.
4:00pm -- Pre-Awards Activities and Awards Ceremony: After Competition is complete, teams go to Kelley Engineering Building Atrium for the Awards Ceremony.
Note: Please keep in mind we will try our best to keep to the schedule but may experience technical difficulties that will slow down or suspend play for an indeterminate number of minutes. Patience and gracious professionalism are key!
Team goes back to Pit room to retrieve any remaining belongings and leave site.
- Who advances to the Oregon FTC Championship?
12 teams at the OSU FTC Qualifying Event will advance to the Oregon FTC Championship. This includes the Winning Alliance (3 teams) and the Finalist Alliance (3 teams) plus all teams receiving a Judged Award (6).
In the event, a Winning Alliance or Finalist Alliance team also receives a Judged Award, this will open a Championship Tournament Slot(s). A lottery will be drawn from the remaining alliance teams from the Elimination Round not receiving trophy and 4 Honorable Mention Teams selected by the Judges that did not receive a trophy.
1st Tier Lottery 1 - 4 slots opened - These teams will be entered if they did not already receive a judged award.
2 Alliance Captain teams from Elimination Rounds (3rd and 4th Place) and 2 Honorable Mention Teams selected by Judges.
2nd Tier Lottery for more than 4 slots opened -

THIS SCHEDULE IS SUBJECT TO CHANGE. CONSULT THE PIT AND LISTEN FOR UPDATES THROUGHOUT THE DAY.
ACCESS TO THE PIT/JUDGING ROOMS:
ID Tags and security-access wristbands – Team members, coaches, and mentors will be issued ID tags and wristbands when the team checks in at the tournament. Anyone without ID tags and badges and nametags will not have access to the pit and judging areas.
Safety Glasses –Failure to wear safety glasses violates FTC rules and can negatively impact judged awards. Hot Shot Game Manual Sec 3.5 – EYE PROTECTION AND SAFETY FIRST requires all teams to bring and supply safety glasses for its members for each competition. Students and adult team members and guests must wear them to protect their eyes while working on the Robot, when observing Robot building/repair work, and while competing. Operators, players, and coaches will not be allowed in the Competition Area or Pit Area without them. Regular glasses and sunglasses do not qualify as safety glasses. If you wear prescription glasses, you must wear safety goggles over them or attach safety side shields.
Adults to Supervise Participants – Plan on two adults per team (e.g., yourself and your team’s mentor) and three adults for larger teams. Note that due to space considerations, a maximum of three adults will be allowed to accompany the team into restricted tournament areas.
Guests –Please invite family, friends, sponsors, and school VIPs. Viewing will be by standing room only and most guests will be viewing from the second floor down into the atrium. Only team members, coaches, and mentors will be allowed in the Pit and Judging areas; parents, family members and guests can view competition , practice field or tour campus between matches. We are officially opening the event to the public at the start of the opening ceremony at 11:30 am.
Extra Children – We recommend that you do not bring extra children with you. They will not be issued wristbands. If you have youngsters who are not members of your team and want to attend the tournament, you should have them accompanied by an adult who is not attending as part of your team.
Coaches with Multiple Teams – If you have more than one team at this tournament, it’s important that you bring an adequate number of adults with you to supervise your teams. Teams from the same school will have their Pit tables in close proximity to one another to the best of our ability. Remember too that your teams will be competing at different times in different places and that each team must have a designated coach that is responsible for each team.

You will be able to recognize Tournament Volunteers; they will be wearing OSU School of Engineering T-Shirts, most are members of the OSU Robotics Club. Feel free to ask volunteers for help or information. They are there to make the tournament run smoothly and to help you throughout the day.
Fun Stuff
We're going to have a great time. Your team should consider wearing something fun to identify your team members, i.e. hats, T-Shirts, stickers. ORTOP encourages participants to talk and share their experience. This is a great opportunity to meet new friends, share stories and learn from each other. This is an educational, friendly competition.
