At all Oregon FTC events Team Members, Coaches and Volunteers are expected to honor and act in accordance with the FTC Core Values and rules.
Team Members, coaches and volunteers are encouraged to fill out a GRACIOUS PROFESSIONALISM™/COOPERTION™ /CORE VALUES form about something exceptionally GP that happened at the event you would like the Tournament Director, Judge Advisor or Head Referee to know about another team, coach or volunteer. Although we expect 99.9% of the ones we receive to be positive comments, letting us know about something exceptionally UN-GP is also welcomed. GP Forms and the INPUT Box will be located at the PIT ADMIN table at every event.
REQUIRED FIRST® CONSENT AND RELEASE FORMS
FIRST Consent and Release forms will be required at the Championship ONLY FOR TEAM MEMBERS/COACHES/MENTORS THAT DID NOT PARTICIPATE IN THE QUALIFYING EVENT
All team members, coaches, mentors and official adult chaperones with the team on tournament day must have a signed FIRST Consent and Release form turned in at the event checkin desk.
Students 17 years of age or younger must have it signed by a parent or legal guardian. Students 18 years of age or older can sign their own form.
Parents, friends and guests of teams do not need a signed consent form
No exceptions to this rule. You must show up at the event with signed consent forms for everyone on the team in order to participate.

Dear FTC Robotics Coaches, Mentors and Team Members:
WELCOME from the College of Engineering, Oregon State University
The College of Engineering, Oregon State University is excited to host a Oregon FIRST Tech Challenge Qualifying Event. We look forward to a great day for the teams and an opportunity to share the FTC Hot Shot game experience with the OSU faculty, administrators, students and the public. We are also happy to have FTC students on campus to learn more about their opportunities as future students of OSU. - There is no charge for the public to watch the FTC event. Team members, coaches and mentors will receive wristbands to access the PIT area during the day. Our event volunteers are primarily from the OSU Robotics Club or other engineering students. Please take time to chat with them about their OSU experience.
OVERVIEW
This overview and resource links are intended to help prepare you and your team for our upcoming tournament. Please read all the information thoroughly yourself, and share pertinent parts to your team. Also, pass on necessary information to parents and guardians, as indicated throughout these documents. Contact us directly with any questions. Our goal is to provide useful information to make tournament day run smoothly. There are 24 teams registered for this qualifying event. Cooperation is necessary to make this event a success.
Most of the communications you will receive from us will be by email. Please check you email regularly and respond promptly if requested. If you are not receiving email announcements from ORTOP or us please call one of us with a correct email address or check your spam filter.
EXPECTATIONS
Our FIRST Tech Challenge (FTC) tournament event expects that you, as coach, and all adults associated with your team will abide by FTC values, policies, procedures and standards as stated in the FTC Coaches’ Promise and agreed upon as part of the tournament registration. - In FTC, Students do the work. FTC is Student Designed, Student Engineered, Student Programmed and Student Driven.
Adult coaches and mentors are asked not to approach or speak with judges during the event unless the judge initiates a conversation with you. If you feel you need to address an issue with a judge, go to the Pit Administration table and ask to speak with Dale Jordan, Judge Advisor. The students should be addressing the referees for field related issue. If a coach or mentor feels they must clarify a field issue, please ask to speak with Head Referee Nate Edwards.
EVENT SCHEDULE
Qualifying Event Eve - Friday Night 2/18/10 - OPTIONAL
On Friday, February 18, 2010 teams are welcome to bring their robot for pre-inspection at 5:30 pm to help us train the inspectors and ending at 7:30 PM, we will welcome teams to arrive at OSU to go through pre- hardware, software and field inspection, set-up pit table, practice a little on the practice field while the event crew is setting up the rest of the venue. Attendance is optional and not required by FIRST. This will give teams more time to fix potential issues that may arise in hardware/software/field inspection and speed up the official inspection process on Saturday morning.

Qualifying Event Day Details
7:15-7:45 am Team Check-in Teams arrive at Kelley Engineering Center, OSU for check-in. Enter Kelley Engineering Center using the north door closest to the westside of the building. Team Check-in will be set up in Pit Admin. Team Check-in OPENS at 7:15 am and CLOSES at 7:45 am. All teams are expected to check-in at this time.
- Coach must show that team has an adequate supply of safety glasses for team members and adults.Coach turns in signed FIRST Consent forms: one per team member and each adult coach/mentor in English or in Spanish.
- If a team previously participated at a qualifying event in 2011 and turned in consent forms you do not need to turn them in again. If a team member or adult was not with the team the first time you participate, then you must turn in a consent form for those individuals.

- Consent forms must be signed by a parent/guardian for students under 18 years of age.
- PLEASE COLLECT ALL FORMS PRIOR to the event and turn ALL team consent forms in at one time to receive your check-in folder.
- Turn in Team Engineering Notebook – clearly labeled with team name and # on the cover. Team can place 6 - 12 post-a-notes on pages they would like the judges to specifically review.
- Coaches should check their schedule to ensure that they are aware of the time and room for the team’s judging session. Your team has one judging session for all judged awards.
- All team members/Coaches/Mentors put on Participant ID tags with team # and team name. Packet will include three Coach/Mentor Nametags
PIT AREA - located in Kelley Engineering Center Rooms - 1005, 1007 and the adjacent hallway and lounge area.
Team proceeds to assigned Pit Table in the Pit area. You will have table for your pit area. Space is limited at OSU, we’ll be doing our best to accommodate everyone. Please place unneeded items under the table. Gracious professionalism, please! You can eat at your pit table but please clean up after yourselves. You can set up a tri-board or poster highlighting your team's community service projects, robot design, programming or team profile info.
8:00 -8:25am - Coach/Mentor/Team Member Meeting in KEC-1001 (across from the PIT rooms):
Everyone is expected to attend the event meeting. In this meeting, we’ll review the flow of the day and the tournament rules, and answer your last-minute questions. We’ll welcome the teams, thank sponsors, and make a few short announcements. We will also review robot driving rules with the teams.
8:30-11:00am Software, Hardware and Field Robot Inspection Stations located near the Rockwell Collins field.
- 1st Hardware/Software/Field inspection of the moring is required and scheduled. Your inspection time is carefully scheduled NOT to conflict with the team JUDGING SESSION.

Self-assessment for Inspections from email to teams on 2/15/11 at 4:48 pm
The software inspection will determine if the robot has the most current Samantha, Field Control System (FCS) and up-to-date programming templates.- Once the robot passes both inspections, teams have the lead inspection sign off on the inspection form and the team brings form to the scorekeeper for entry in the qualifying rounds. The team robot must pass all three inspections to advance to the qualifying and elimination rounds. Robot inspections will close at 11:00 a.m.
- If robot passed software/hardware inspected on Friday evening, the team will be required to formally go through inspection on Saturday.

- BE AWARE of your assigned JUDGING SESSION TIME. Your scheduled judging time takes precedence over robot inspection but you must do both. Referees may request that your robot be re-inspected at any time during the event. You only have one scheduled judging session for all judged awards. Don’t miss it!
- NOTE FROM State FTA -Chris Flanagan - Check your battery connections! Simply wiggling the connector can cause Samantha to power off. Once sockets are tightened up the connection loss will go away.
8:45 –11:25am Judging Session – Each team and their robot has one ten-minute judging session
- Review your individual schedule to determine when and where your judging session is scheduled. Bring your robot with you. Judging will be held in:

- Teams are responsible for getting themselves to the Judging events.
If you are not present at the Judging events then you will miss this judging opportunity. As with the Performance competition round, because of the tightness of the schedule, you will not be able to make up a missed judging opportunity. - You should arrive at the associated judging room five minutes before your assigned judging opportunity and check in with the judge's room assistant upon arrival.
- Do not allow robot inspection to conflict with your judge session.
- Judging Criteria and Awards – Refer to Section 7 of the Get Over It Manual
8:30 am --- Tournament field available for practice. Use of the practice area will be informally scheduled to ensure that all teams have comparable access to the area; the practice area monitors will facilitate field use. The Practice Field will be located between the two competition fields on the 1st Floor. The practice field is in a very public location. The teams’ behavior and language should be professional and polite. If you are waiting for your turn, please explain the Get Over it Game and FTC to guests that are watching.
11:00 am - Formal Robot Inspection closes. Teams that have passed hardware/ software/field inspections will advance to Qualifying Rounds. Tournament officials will enter the team numbers advancing teams into the Event Scheduling program. Teams will be randomly matched into 2 team alliances for the qualifying round
11:00-11:30 -- Lunch: You are encouraged to bring lunch from home in order to provide your team with the most flexibility to stay hydrated and nourished.Teams can bring in their own food but please clean up after yourselves.

Also, directly across the street on Monroe Avenue are a number of restaurants such as Subway, QDoba, Chipotle, Yumm Cafe, Big Town Hero, and others. BUT, don't be late or miss a qualifying round. Send a parent for take-out to bring it back.
11:35 am--OPENING CEREMONIES for the public. Introduction of the game and teams, team pins, coach/driver buttons.
12:00 pm -- QUALIFYING ROUNDS BEGIN!
---Schedule projected on the Pit Gym Screen. Look for your match #. Each match should take approximately 5 minutes.
---Teams check-in at PIT Admin Table three matches before the one occuring and then proceed to the atrium bullpen area #1 or atrium bullpen area #2. The Event Field Volunteers will direct you to the proper field and alliance position. Listen for Match # Annoucements over the PA system. Assign a team member to do this. The event runs on Match Order not Match time. The fields will be located on each end of the 1st Floor of the Kelley Engineering Building.
ODD numbered matches will be on the ROCKWELL COLLINS field and EVEN numbered matches on the INTEL Field
Team goes back to Pit area to practice or make adjustments to robot, or watches other teams in the Performance competition.
All teams will be on an even footing, in that none will know the competition-pairing schedule until the day of the competition. Because of the tightness of the schedule, you will not be able to make up a missed competition round. Two student drivers and one coach (which can also be a student) are allowed per team in the Alliance box.
Review how Qualifying Rounds are Scored!!!! Review Tournament section of Game Manual! This comes as a surprise to most rookie teams. Understand Qualifying Points (QPs) and Ranking Points (RPs) . Get Over it Game Manual – Section 3.6.6
Approx 3:00 PM ALLIANCE SELECTION and ELIMINATION ROUNDS
Understand how alliance selection is made. Read Section 3.6.7 Get Over it Game Manual
As described in the FTC Rules, 3 team alliances will be formed.
Teams are asked to select a Team Captain for the Alliance Selection process. Immediately following the Qualifying Rounds, Team Captains are report to KEC-1001 for the Alliance Selection Procedure meeting. The rest of the team, coaches, mentors wait in the Atrium lobby during this time.
NEW!!! – For the Get Over it Game their will be only four 3-team alliances in the elimination rounds (12 teams).
Elimination Round Play – read section 3.6.8
Cleaning up the PIT: After Qualifying Rounds, if your team is not advancing to the elimination rounds, the team should pack up their belongings. You can leave them in the Pit until after the awards ceremony but please be packed and ready to go.
4:00pm -- Awards Ceremony: After Competition is complete, teams go to Kelley Engineering Building Atrium for the Awards Ceremony.
Note: Please keep in mind we will try our best to keep to the schedule but may experience technical difficulties that will slow down or suspend play for an indeterminate number of minutes. Patience and gracious professionalism are key!
Team goes back to Pit room to retrieve any remaining belongings and leave site.
- Who advances to the Oregon FTC Championship?
5 eams at the OSU FTC Qualifying Event will advance to the Oregon FTC Championship. This includes the Inspire Award winner, the Winning Alliance (3 teams) and one team selected by the Advancement Criteria Selection process.
In the event, a Winning Alliance team also receives the Inspire Award, this will open an addtional Championship Tournament Slot(s) also awarded by the Advancement Criteria Selection .

THIS SCHEDULE IS SUBJECT TO CHANGE. CONSULT THE PIT AND LISTEN FOR UPDATES THROUGHOUT THE DAY.
Safety Glasses –Failure to wear safety glasses violates FTC rules and can negatively impact judged awards. Game Manual Sec 3.5 – EYE PROTECTION AND SAFETY FIRST requires all teams to bring and supply safety glasses for its members for each competition. Students and adult team members and guests must wear them to protect their eyes while working on the Robot, when observing Robot building/repair work, and while competing. Operators, players, and coaches will not be allowed in the Competition Area or Pit Area without them. Regular glasses and sunglasses do not qualify as safety glasses. If you wear prescription glasses, you must wear safety goggles over them or attach safety side shields.
Adults to Supervise Participants – Plan on two adults per team (e.g., yourself and your team’s mentor) and three adults for larger teams. Note that due to space considerations, a maximum of three adults will be allowed to accompany the team into restricted tournament areas.
Guests –Please invite family, friends, sponsors, and school VIPs. Viewing will be by standing room only and most guests will be viewing from the second floor down into the atrium. Only team members, coaches, and mentors will be allowed in the Judging areas; parents, family members and guests can view competition , practice field or tour campus between matches. Teams can invite guests into the PIT for short visits IF THEY PROVIDE SAFETY GLASSES for the guests. We are officially opening the event to the public at the start of the opening ceremony at 11:30 am.
Extra Children – We recommend that you do not bring extra children with you. If you have youngsters who are not members of your team and want to attend the tournament, you should have them accompanied by an adult who is not attending as part of your team.
Coaches with Multiple Teams – If you have more than one team at this tournament, it’s important that you bring an adequate number of adults with you to supervise your teams. Teams from the same school will have their Pit tables in close proximity to one another to the best of our ability. Remember too that your teams will be competing at different times in different places and that each team must have a designated coach that is responsible for each team.
Food
Sack Lunches – You are encouraged to bring lunch from home in order to provide your team with the most flexibility to stay hydrated and nourished. Other options: The e.cafe' located on the 1st Floor of the Kelley Engineering Center. e.cafe Menu
Also, directly across the street on Monroe Avenue are a number of restaurants such as Subway, QDoba, Chipotle, Yumm Cafe, Big Town Hero, and others. BUT, don't be late or miss a qualifying round. Send a parent for take-out to bring it back.

You will be able to recognize Tournament Volunteers; they will be wearing OSU School of Engineering T-Shirts, most are members of the OSU Robotics Club. Feel free to ask volunteers for help or information. They are there to make the tournament run smoothly and to help you throughout the day.
Fun Stuff
We're going to have a great time. Your team should consider wearing something fun to identify your team members, i.e. hats, T-Shirts, stickers. ORTOP encourages participants to talk and share their experience. This is a great opportunity to meet new friends, share stories and learn from each other. This is an educational, friendly competition.

With this memo, I want to inform you of several important things. I also need you to respond to several questions. It is NECESSARY that you respond within 48 hours to those items for which a response is requested. Written responses should be sent to Jim Higgs (HiggsJDH@hotmail.com) who is helping me with this event, and also cc’d to me (domesd@hsd.k12.or.us). Please immediately distribute the following "Need to Know" items to your teams.
THINGS YOU NEED TO KNOW BEFORE COMING TO THE TOURNAMENT:
Our space at Hillsboro High School is very limited. We have sufficient room for the teams and coaches in a designated Pit area. Otherwise, there will be very little sitting space and people will be standing most of the time on Sunday. We’re requesting that in addition to coaches and team members, no more than one guest attend per team member. Team members, coaches, and mentors will be in the pit area and there will be room for only approximately 8-10 per team. Even if every team brings only one guest per team member, 2/3 of the guests will not have seating throughout the day.
- The registration check-in time for a team participating on Saturday, January 29th is 8:00 AM.
The registration check-in time for team participating on Sunday, January 30th is 8:00 AM for the “A group teams” and 10:00 AM for the “B group teams.” - We will have Pre-Inspection available. This won’t formally “count” but will permit teams to better know if they will be able to pass formal inspection the following day.
- Pre-inspection for the January 29th teams will be held on January 28th, from 6:00 – 8:00 pm, at Hillsboro High School
- Pre-inspection for the January 30th teams will be held on January 29th, from 2:00 – 4:00 pm, at Hillsboro High School
- A concession stand will be available at the event, and will be open approximately 9:30 am - 2:00 pm. Kids should bring sack lunches or have some money for the concession stand. HillHI Concession Stand Menu
- Safety glasses must be worn at all times, by everyone (including guests), while they are on-site at the tournament.
- Samantha needs to be working on robots in advance of the tournament. Please do everything necessary to ensure this is true. Please contact us if you have questions or problems.

Every participant: coaches, attendees, kids, volunteers—must sign a release form before being permitted into the tournament(s). Coaches should have parents and guardians of team members complete the forms and submit at time of team checkin.

- As coaches already know, coaches will need to submit their teams’ engineering notebooks at the time of registration.
- Our intention will be to get every robot through inspection. Inspections will start promptly and robots/teams need to be ready. All teams will be scheduled for inspection within one hour of registration. If you don’t pass, this permits time to make needed adjustments.
ITEMS NEEDING A RESPONSE FROM EACH COACH:
- In addition to coaches and team participants, how many guests are you planning to bring? Please tell us a number. Again, this needs to be a minimal number.
- Are you a team participating on Saturday? If yes, are you planning to participate in the Pre-Inspection on Friday night?
- Are you a team participating on Sunday? If yes, are you planning to participate in the Pre-Inspection on Saturday afternoon?
- Does your team have Samantha working on your robot? [Yes or No]
